Use Excel’s Ctrl+Enter To Fill Multiple Cells Quickly

How Do You Enter The Same Material Into Multiple Cells Quickly?

If you want to enter something in cell A1, and have the same value or formula extend down to A20, how would you do it?  Here are three methods that are commonly used:

  1. Copy and Paste (copy A1, then select A2:A20, and hit paste)
  2. Autofill (drag what you’ve entered in A1 all the way down through A20 using the autofill handle (or by double-clicking in some cases))
  3. Ctrl+D (fill-down shortcut — you enter into A1, then select A1:A20 and hit Ctrl+D)

Ctrl+Enter: A Less Common, But More Useful Fourth Way

Here’s a fourth one that’s simple, yet not as commonly used — and you’ll see that it’s also faster and more flexible:

So how does Ctrl+Enter work?

Simple: just select your whole range BEFORE you start typing.  Then, after you’re done typing, hit Ctrl+Enter instead of Enter.

Copy Only Visible Cells With Excel’s Alt+; Shortcut

How Do I Use The Alt+;  Excel Shortcut To Select And Copy/Paste Only Visible Cells?

Say you have 1000 rows of data, with 15 hidden rows.  You’ve hidden those 15 rows because you don’t want to copy them.  You select the 1000 rows with Ctrl+A, then you do Ctrl+C to copy, and then Ctrl+V to paste.  Your selection (before you paste) looks like this:

You’re moving fast and you think you’re a shortcut genius.  But to your chagrin, they hidden cells get copied anyway.

Why?  Because you selected them (even if you didn’t know it).

Excel Paste Special Shortcuts To Make You Faster

Basic Paste

The fastest way to cut, copy and paste is by using the keyboard shortcuts Ctr+X, Ctr+C and Ctr+V.  Ctrl+V performs the basic paste operation — and includes the formulas and formatting, if any.  But sometimes you want to do more — or less — when pasting.  And pasting can be used in ways you’ve never imagined.  Enter Paste Special.

The animation below shows some of the neat things Paste Special can do in Excel: pasting just values (no formatting or formulas), pasting a picture (that you can move around) and pasting formatting onto other numbers.
